District Policy MFA efforts has been successful however spammers and scammers are now targeting students mailbox system by registering as fake students to get an InSite emails to gain access to the entire 4CD mailbox system. M. Lewis asked to delete and be vigilant on identifying fake students from classes especially those with asynchronous classes. Faculty can reinstate students in class if need be. District Policy Starting in November, two authentication steps will be required for Canvas and 4CD InSite accounts. Local Ӱɴý M. Lewis shared a proposal to do a joint forum (called the Best of Us) with Classified and ӰɴýAS to do Equity work for one Monday meeting. We need to have intentional parts about AB705. - It was suggested to look at what Child Development did, to create a template, to account for faculty hours, and perhaps use Monday meetings. - The college will pick up program to work on as a model, asking folks to possibly work during winter break, and shared OAS job description. - N. Hannum will provide a list of reassign time positions in the next ASC meeting; Oct 24, 2022. - Student Equity Plan (SEP) S. Kwist shared on Oct 17th, a college-wide conversation not only around equity, also disproportionate impact data at large and think collectively around black students; black and African-American students (black students appear in 4 out of 5 metrics). The work plan will be devised by the conversation we have in SEM committee and conversations on Oct 17th. S. Kwist will send out the work plan and asked all to engage in the conversation, look at the supplemental questions around curriculum accessibility and provide feedback. The 24th meeting is the last meeting to submit any modifications or feedback before submitting SEP to the Board. - M. Lewis shared the Academic Senate will lead on some of the discussions, presentations and work groups around equity initiatives. Lewis shared a timeline summary development and the purpose of doing an Institutional Racism Audit. Townsend officially withdrew her motion and to table it to next Senate meeting on 10/24/22. It was asked, what is the charge of a subcommittee, how the membership can be determined, and whats the timeline of the task force? It was shared for Senate to vote on this, create a proposal, have deeper discussion, and bring in an Auditor (how do we fund an Auditor). It was also noted that this was brought forward to Senate by three Deans six years ago to the day and does Senate want to do this? Also, the template needs to be agreed upon and create the 2nd column as N. Hannum suggested. Comments: 1) do this audit after the District finishes with their audit, 2) to have this done when the new Dean of Equity is in place, 3) a concern who can do it from third party neutral, unbiased, inquiry because in the end, we want concrete action steps to not find ourselves in similar situation, 4) from a research perspective, there could be problems happening from both sides, 5) we need to move forward because theres always going to be something; fear of asking questions, 6) we need to find some institutional money for this, 7) to apply for transformation grant; do an assessment through transformation grant, 7) theres a guidance of what fits and process of asking for dollars via tri-chairs; a template and a rubric asking for dollars is being created, 8) who will write the job description and deliverables, 9) to move forward was strongly expressed, after six years to the day, we need to move forward and begin the conversations. Lewis shared past unsatisfactory outcomes within the Box 2A process that is written into policy and district and asked for suggestions by using the Sharepoint file N. Hannum created with all Box 2A applications being considered this semester. Also shared the commitment to publish criteria used after decisions are made. M. Lewis also shared the issue of threatening of certification within an area due to one certified faculty departing from that program, can the program be decertified; this is a one high ranking Box 2A criteria. Lewis shared, we will come out with more formal statement of that criteria once the rankings and choices are done. Also noted, when were replacing people in Box 2A positions weve had before, its not an additional cost to the college and we no longer give priority to replacement positions, faculty/students ratio are being considered. - M. Lewis shared a concern of how the Box 2A committee is small in numbers for one who makes big decisions for the college. In Board policy, Box 2A only has 4 members; the Academic Senate President, UF Vice President, and 2 managers. If any suggestions, M. Lewis can take it to DGC. - It was asked if the ranking written in local plan for growth in Brentwood was used at all. M. Lewis was not sure however all plans were read. It was suggested if its not being looked at, to remove it from Box 2A or create a rubric for faculty or for any other grant. M.
