Lewis): Minutes for 8/29/22 will be approved on 9/26/22 meeting. 5.Communications and Questions (M. Lewis): Academic Senate President: M. Lewis expressed gratitude for everyones participation in Civility conversation, highlighting and thanking E. Davi for her point, Anger is not always being a bad thing. Its a normal emotion. When we do feel angry, its important not to act on it in a destructive way and were able to ever ascertain truly the motivations of other people; you cant see into other people. Theres really two different ways of looking at civility; 1) what to do when you might be uncivil or what do you do when somebody else is uncivil to you? M. Lewis shared 3 examples on what to do when in conflict; 1) Ignore the feeling and live with it, 2) Speak to the person directly (M. Lewis really encouraged to do this.), and 3) you go through them or go over their heads or someone is really doing something bad, you can report it to an authority. Its written in ASC Bylaws, theres a procedure to recall Senate officers, there has to be a vote on it and there has to be a petition. Comments: 1) Great point, where do faculty go when they feel blocked or do they go when they dont follow procedure, when they bypass departments intentionally without getting input. 2) Whoever is responsible, the first thing to do is to go to that person and talk to them.5.Communications and Questions (M. Lewis): - 3) It is also important to consider communications skills; people who are comfortable doing that, cultural issues that influence how we communicate, skills to identify what they want and how they feel, to be able to describe the situation, keep in mind people may have a a history of not being able to; its not an easy thing to do. To be receptive to individuals, with different background and to understand them, its important so we can resolve issues. 4) It helps to try and speak without assuming motives. - District Budget: Were doing pretty good. The State has increased apportionment for FTES and it looks permanent. The State Chancellors office is going district by district to see if its better at hold harmless or funding formula. Our district might be better under funding formula. - Board Policy (BP) 1030: M. Lewis shared new official Harassment Policy. M. Lewis shared Senates concern on protective groups language not being included in BP 1030 and didnt include remedies. DGC said that its all covered under specific Implementation Policy (BP 3030). - District Equity and Inclusion Committee: First meeting for this committee is tomorrow, Mon, Sep 13th. M. Lewis will find out how many faculty each college can send and which faculty groups they want represented. The Chancellor and Board has hired an outside consultant to do an equity audit at every college in the District. M. Lewis will bring this back for recruitment at the next ASC meeting. - Credit for Prior Learning Conference: The Credit for Prior Learning Conference is on Oct 28th, from 9-12pm, it free and its online. - Open Faculty Positions on Committees: M. Lewis shared all open positions as listed on the agenda and highlighted DGC rep from Brentwood. Open faculty position on SEM can be from any designated area and SGC needs 1 faculty member. College Administration: - N. Hannum shared Ӱɴýs enrollment are currently holding at 92% (of targeted FTES). Completed our 2nd round of UF negotiation on Fri, 9/9 and will continue this Fri, 9/16, where Jeffrey Michaels and Laura Vincent (attorney) will make a statement of status of negotiations. - M. Lewis highlighted on document shared regarding release time. Ӱɴý has the most faculty release time in the District; adding a total 10 FTE. Committee Update: - CC had their first meeting last week, did more trainings with committee members and shared scenarios around curriculum development. For any new courses for CSU GE, renewed CSU GE, or with any major revising, CC will need to approve this by CCs Oct 5th meeting. M. Lynn sent out info via email regarding upcoming webinars on AB928; conflation of GE patterns into one and one CC member to be approved today. - Planning: Work this year is a lot of implementation of comprehensive program review. The deadline to submit on eLumen is Feb 14, 2023. Bethann Stone is providing Friday coaching sessions for departments, data, and templates. An exceptional work by C. Hsieh and B. Stone. State mandate Equity Plan is being rewritten and led by S. Kwist and will present at the next ASC meeting and College Assembly on Sep 19th. SEM: N. Trager shared the Student Equity Plan is limited to 2,500 characters, S. Kwist is taking the plan in various committees for feedbacks. SEM made sure all constituents areas are represented; need 1 faculty member is needed. SEM 2.0 (smaller scale members of SEM) met over the summer, discussed success coaches, broader picture of GP, and updates on cofacilitators. The CC Chair work has taken on more work in the past several years that they didnt have prior; a huge argument of this proposed increase. - M. Lewis clarified this is a permanent increase. Bui, Ӱɴý Associated Students (ӰɴýAS) President introduced himself. J. Bui asked what is the preferred report out by him. - Comments: to hear about trend on students returning to campus, ideas of expansion of services, or changes to benefit our students. - J. Bui shared the difficulty of connecting with student body and will reach out to more students and connect with them. J. Bui also shared ӰɴýAS efforts to building a foundation set-up to focus on actionable items. Currently, J. Bui is working on zero textbook cost and to support students. J. Bui shared a concern regarding students not having enough access to Counseling appointments during the month of August except drop-ins and theres no waitlist option for students. J. Bui also suggested to make modules more available and affordable for students. - N. Hannum noted all concerns and will take back to Presidents Cabinet to share with President Kratochvil, V.P. Maxwell, and V.P. Montoya. N. Hannum also assured J. Bui their doors are always open and no need to wait for public venue to be heard. Lewis shared steps of processing RAP proposals, SGCs sub-committee tasks, ranking, and RAP funding sources. - Last RAP survey was requested and N. Hannum will check with B. Kratochvil for RAP survey results from at least six years ago led by Ronke. - It was suggested to put all requests and its progress in public forum and catalog for global transparency across the community and it was also suggested to have SGC Faculty Reps to report out to ASC and make it into a process of reporting. Many years ago, there were narratives and form of communication shared campus wide on approved RAPs and explanation. ASC might want to add this to our process for transparency. - There is no written set of instructions (step by step) found how RAP decisions are made. It was suggested to have instructions available especially for new members to understand procedures and also to post on website. J. Lewis shared Box 2A process; consist of two managers, one ASC President, and one UF Vice President; four people that decides for the Entire college and ranks the order of full time hires every year. The group is set by UF policy and it in the Uniform Selection Guide. M. Lewis suggested for ASC to come up with a more inclusive expanded version of current Box 2A committee and to take to DGC for feedback & approval. M. Lewis also shared there is no formalized criteria process in ranking and sometimes there are exceptions. N. Hannum shared a rubric are being used, department data, accreditation of position, historical load, and recommendations are brought to college President for final decision. - It was suggested to make all Box 2A applications and reference available. M. Lewis shared the criteria the committee is using should be public. - N. Hannum noted she will do her research on criteria used by the Box 2A hiring committee and shared ranking review process for hiring. - Child development is aligning their Box 2A with vision for success, SEMP, Equity plan, into five categories; assuming that was the rubric.
