Brittney West shared a flyer for an event, Cookies, Coffee, and Counseling, scheduled for April 2nd from 1-3pm in SU-412. The event is for all, learn about mental health, learning communities and to better connect students with resources. It was suggested to hold one for Brentwood. Per M. Arcidiacono Kaufman via P. Gunder, is reiterating M. Lynn public comment statement during AS meeting on 2/26/24 meeting. Kaufman added in her statement; I would like to be clear: I am not asking for exceptions to Brown Act at meetings by sharing this information. This is truly about providing a variety of options for faculty/staff and students. While some might take the cynical road that state that having more hyflex options would prevent folks from coming in-person. I believe we need to be more optimistic of our fellow colleagues and students and believe that those who truly needed the option would use it and those could come in-person would. It was suggested to request for this collectively to place it on the agenda for discussion, then to SGC. Currently at Ӱɴý, not all committees offer zoom participation/viewing. Per L. Giambattista, the Governing Board announced there will be Voting Drop Boxes in all 3 college campuses. Ӱɴýs will be near the Library. L. Huffman reminded everyone there is a survey that came out sent about a month and a half ago, survey will close tomorrow. The survey has a lot of questions regarding Distance Education. Baccalaureate program is being discussed whether we want to start offering, however some were rejected due to CSU program duplication. 5.Communications and Questions (A. Simone and L. Giambattista): a) Academic Senate President: - If Ӱɴý wants to offer bachelors degree, it has to be a degree UC or CSU are not offering. - Common course numbering update; currently working on 6 courses, English 100, 105, Comm 110, Math 110, PolySci 110 & Psychology 110. - Discussions on OER and Zero Textbooks. Simone sent out the email regarding AI work being done at State level. All were encouraged to make sure to promote when awards are given via ASCCC. Simone will send out some of the webinars via email. Consent Calendar items were pulled off for debate such as AI disciplines list. Simone encouraged all to sign up for Curriculum Institute for July 10-13 in Pasadena, especially for those who might want to be the next Curriculum Chair. L. Giambattistas term will end at the end of the calendar year. - P. Gunder announced the new Academic Senate At-Large CTE Part-time Rep is Carol Jensen (Business & CWEE) starting in FALL 2024. - P. Trager shared the Districts plans for pausing Program Review, Ӱɴý is considering to do the same via Planning Committee by redesigning some templates, tools, and timelines. CCC and DVC will be pausing this year since they will have to turn in their program review while doing some realignment. Ӱɴý does not a program review this year, no need to pause however there is a 3-year update for next year. The proposal options are: #1 to not participate in the 3-year update, to consider revising our program review process locally; templates, timelines, trainings, and validation. Option #2, Ӱɴý proceeds with our year 3 update in the fall and work with various shared governance bodies in SP24 to redesign templates, timelines, and discuss potential changes while concurrently completing year three update. Comments: 1) planning group is a sub-committee from Planning consist of N. Trager (Dean), S. Hubbard (Faculty), V.P. T. Maxwell (Student Services), and open to more participants, 2) create a flex and invite other faculty, 3) a little researched done to what CCC and DVC has done along with other colleges who received gold stars from accreditation committees; Ӱɴý group will make recommendations to Planning, and will present to all Senates, 4) if we pause, comprehensive review may not happened if we come up with a new timeline. - Motion to approve Program Review Pause Proposal Approved (M/S; P. Huffman asked if there was an existing plan if we are going to move towards 60% in person and 40% online and added the substantive change will need to be changed again if we move to 60%/40% and resubmit to ACCJC. Huffman noted question posed; how is the modality consistent with the mission of the institution and answered that it was placed in DE Mission Statement and also has links supporting rationale evidence in each category including data numbers and information from archived information for each listed question. Comments: 1) if its for hybrid courses, it was suggested to mention the hybrid training (L. Huffman will check with R. Pedersen if its for hybrid). 2) L. Huffman shared the plan should consist of examples of modules for viewing, access to view if it meets criteria for standards, and to not only have check boxes, 3) it was mentioned hybrid courses is categorized as distance education, 4) L. It was directed to Standard 2.7; Institution designs and delivers equitable and effective services and programs. L. Huffman shared there will be a new students help desk, a classified position to help students navigate DE learning as well as having a student worker to help and tutoring position for additional assistance. c) Faculty Prioritization Box 2A Timeline Proposal N. Trager shared the change to faculty prioritization is only the timeline. Faculty feedback; 1) competitiveness against our sister schools and other schools in the area proving to be a problem with our current timeline. 2) a revised workload distribution with the one-year schedule; a lot are happening in the fall, 3) an alternative paper screening period to accommodate speedier timeline. This would give the faculty prioritization to be out in spring; part one this spring, the committee would meet before summer break and give their recommendations to the president. We dont hear about the budget until the middle of the summer, the hiring priorities would not be announced until fall, before flex week, job announcements would be posted early fall and close before Nov. break, paper screen before winter break, interviews after winter break, and make offers before spring break. This moves things up calendar. Comments: 1) L. Giambattista asked, how and when do we decide what the prioritization criteria is; prioritization list from the Senate for the year because the Senate has a say on the priority. We usually decide what the priorities are first, and then we go into the meeting, knowing what the priorities are, so that we can have a discussion and have a say in the priority. The load factor; the percentage of full-time versus part- time, retirement replacement, is the program going up or down; these are some of the examples that we need to put together, then we ask the management the discipline to put our applications together so they would know what the priorities are. 2) this should have a list of priorities established by the Academic Senate, 3) currently there is not a list we can vote on or a list we can locate, 4) do we want retirees to have the highest priority or not, 5) the list should be added somewhere in this timeline, 6) CCCs process is they meet prior to Prioritization Committee, the three constituents; management, faculty, and union and decide what are the priorities for the year, 7) Senate is asking for another date on the timeline called Senate Feedback Due By for criteria with date listed for Senates voice, 8) the priorities should be listed with the timeline forms (N. Trager, a presidential question), 9) chairs getting the list of priorities when given the applications?, 10) the old timeline was requested.9Discussion: (Simone/Giambattista): a) Faculty Coaches/Mentors Constituents Input A. Simone highlighted feedback received from various departments constituents (in senate packet) and asked if there are additional feedback to be forwarded to V.P. Maxwell. M. Capes shared that she is not a Senator however she is9.Discussion: (Simone/Giambattista): a) however, she came to talk about this particular item. As my representatives, I wanted you to know the amount of work that Im coming in as MESA faculty advisor. Its very unique role that I have on campus, in addition to teaching chemistry. Hi, my name is Mindy, I teach chemistry and also, the MESA faculty advisor. MESA is one of the learning communities that we have on campus. It is the only learning community that is disciplined space, not other types. We only focus on STEM majors and part of the basic program. In addition to an amazing counselor who happens to be here too, our director is in transition, is a faculty role. Right now, I am helping to support 300 students and this faculty mentor role type is like my job times 500. When I first read it, I thought it was like 5 peoples full-time job, and I just wanted to come and have time to let you all know what I do for one of these little line items that theyre putting on and what that needs if I can. It was asked if Mindy gets release time. Mindy said, I get OAS so I have to put time cards in and put time and efforts to get paid a very small amount compared to what my load would be, this is son top of my other load. Im getting 20 hours a month, but its more like 20 hours a week that I have to say that Im working like on this. Just doing one of these little online items, it seems really easy to engage and have discussions on student success. It sounds super easy; you plan a flex, you do the flex, then its done. So, theres all that follow up that has to happen, its the great thing about learning communities that Im hoping goes to these guided pathways, the one-on-one individual attention and being able to touch the students that need to be touched, and that is not an email. If its an email, its not one email, its 20 emails to do this, so its a lot. Thats why I came in to to show you. It was added that its a lot of extra responsibility and it doesnt quite seem feasible on top of everything else. Even if youre not an academic senate or chairing committees, its looks like a lot of work, almost an unmanageable amount of work. - D. Franco shared he is one of the co-leaders of this group, we have struggled mildly to get instructional faculty into that group and that makes It hard to address these kinds of concerns. We really need more instructional faculty in the student success team work group that we have. Thats the subset of the SEM committee. That would be super helpful because were trying to call things together without having enough representation and voices to help us get there. The reality is guided pathways calls for an integration of instruction, student services, and student success coaches and counselors. There has to be an instructional faculty component. Comments: 1) how much does this person going to be paid, 2) is this full-time, what is the load, 3) how do we know if the compensation is going to be realistic, 4) we have to write the job description before we know what the load is, 5) theres not a clear picture of what the faculty will be doing, 6) for Academic Senate to create a wish list of suggestions to Dr. Maxwell that will help recruit faculty advisors; the MESA program is a great model in addition to teaching, 7) Mindy mentioned that she is this on campus, 8) this should be provided for students however it is not realistic to put all of this on a faculty in addition to a full-time load teaching, they wouldnt even be fulfilling their faculty job if this was a full- time job, how can you be a faculty support person if youre not even in the classroom? Is this one full-time load or 4 people for guided pathway because making a PowerPoint and sending out an email is not whats on the list today. 9) This is a lot per pathway, were looking at 30 programs per pathway, 10) to create a prioritization model of student getting specific model, not every single student is going to be getting the same support, 11) its asking for more faculty to get involve, 12) for M.
