Almassey shared various Outreach events and opportunities and encouraged everyone to share with their students. Included where Early College Credit for high schoolers, Talk About It Tuesdays on Feb 21, Mar 21, and Apr 18 from 5:30-7:00pm, and Senior Saturdays scheduled for Apr 22 and Apr 29. High School Seniors will explore our campus, learn about Student Life, Learning Communities, and Student Services. J. Saito shared there will be forum for Ӱɴý President finalists sometime in May. Anyone who wants to get involved with the process, all encouraged to attend the forum. It was requested that the forum be recorded for individuals to send feedback. 3.Agenda Reading and Approval (M. Lewis): Academic Senate President: District DGC wants to make changes to Curriculum and Instruction Policy 4001: 1) Instruction Hour to include online instruction, 2) to clarify EW on the transcript, to state Excuse Withdrawal. EW does not count against repeatability and it doesnt count for financial aid. 5.Communications and Questions (M. Lewis): - District Kelly promised the Visual Schedule Builder will greatly improved by next semester or the District will omit the program. M. Lewis requested to place this in their Consultation Council (District Technology group) agenda. M. Lewis will check on this next semester. - Local Were back in person. All Brown Act committees are required to attend committee meetings in person. Those attending online must request for a vote by their committee to allow them to participate and vote online. Thank you to Rachel Anicetti for creating the form. The form will be included in various webpage and it was requested to add it to faculty webpage. Also noted for all listed open faculty positions. Joint Senate meeting will be taking place next Monday, March 20, 2023 in L-109 at 3:00 P.M. for in-person or online via Zoom. The meeting will be a conversational session rather than a presentational session; to check on each other and discuss ideas and feedback from all groups. College Administration: - No Report Committee Update: SGC J. Saito reminded everyone to submit the RAP proposals by the end of March. Theres about $375K available for one-time RAP funding. Discussions for DEI (Diversity, Equity, and Inclusion) will be a priority. Everything else will be considered with strong justification. J. Saito also shared that C. Montoya shared during SGC, currently there are 60 unfilled positions at Ӱɴý; the norm is about 20 (Mgrs., faculty and classified). SGC requested for managers to create a training for committees, especially for committee chairs and identify who will be the Arbitrary person? SEM group attended SGC to request for an approval of the model constructed for student success teams. M. Lewis received the model. CC No Curriculum Committee meeting this week. A lot of courses are still in stage 1, no meeting required. Planning Need a faculty rep. Please fill out the survey from Planning/R. Pedersen regarding Ӱɴý Survey Inventory Questionnaire. Also discussed were the Institutional Set Standards, based on committee recommendation, updated data will be shared with the Presidents office and if anyone is interested to be involved, please email R. Pedersen. Planning group would like to be the main overseer of all campus surveys; to avoid duplications of surveys on campus. Completion rate of comprehensive program reviews were better for some groups. Institutional Set Standards will come to Senate at some point; Institutional Set Standards is the report we have to submit to Accreditation group every year. One report would share data of percentage of our students with complete college level English and Math in the first year; percentages are reported. Planning would like to review this again due to standards set prior to pandemic. GE Received the data from the district regarding Global GE for English courses. GE is working through the data and will have a conversation with R. Pedersen to try and condense the report before presenting it to Senate. The group had a discussion regarding Program Review and its processing which in the future may be streamlined in an alignment with Guided Pathways. TLC Meets tomorrow. M. Lapriore asked the Senate if TLC need to be a Brown Act committee; TLC will be discussing this tomorrow. The Senate is receiving numerous inquiries regarding Brown Act regulations, the Senate will be discussing this in the next meeting. 6.Consent Calendar: Motion to approve Consent Calendar with previous changes as listed Approve (M/S; L. Giambattista/J. Clark) Unanimous, 14 Votes Faculty listed on the agenda with exception to changes to remove Erlinda Jones and Theodora Adkins and add Penny Wilkins. It was noted Dr. Nicole Trager has acquired the position of Interim Dean of Math and Sciences within the Office of Instruction as of March 1st. Dr. Trager is now settled in R. Pedersens old office and is now working on the job description for MESA Director. 7.Second Reading (J. Saito): Re-examining Academic Senate Membership J. Saito shared the history and development of all departments representation and conversations that took place in order to come up with summarize groups. J. Saito posed questions to Senate for a possible task force to review the current listing and shared feedbacks; 1) do we want to look at the current list, 2) do we want to change the existing model, 3) should we apply it more to learning, major, and career pathways rather than departments, and 4) do we want to change the at-large models. It was confirmed the Senate has 8 open positions of which 2 are Senate Council members (V.P. and Financial Officer). Discussion was about: 1) original summarization of groups were management mandated, 2) weve had 3 models since 1973, 3) participation is the key issue, 4) concerns about the larger departments; what works for departments may not work for faculty and other staff, 5) more participation and contribution from adjunct faculty to be more inclusive and can help with facultys resume, 6) some colleges do not allow adjunct faculty to participation and others can become Senate officers such as Santa Rosa College who has an adjunct for ASC President, 7) it was recommended for the task force to look at different models, 8) suggestion was to have a flex retreat, however scheduling might be a challenge, 9) stipend for adjuncts, currently only R. Talley (adjunct) in Senate, 10) participation brings your voices to the table, 11) to have a retreat, forum, or assembly, 12) certain individuals have barriers about participating; we have to approach this in a more creative way on campus, 13) enrollment has been declining since 2016, 14) to do hard analysis number of committees we have and if our goals are being met. M. Lewis will organize a Senate retreat in FALL 2023 regarding Committees and Senate Representation. No voting needed on this item due to decision to have a Senate Retreat instead of forming a task force. 8.Special Item: ӰɴýAS Student Senate Report No report available. 9.First Reading: (A. Simone and J. Townsend): Ethnic Studies Institutional Racism Assessment Scope of Work & RAP Proposal A. Simone shared the number of meetings the task force had, discussions prior to meeting with management, and the development of the case study statement with specific questions for the research. The group came up with the RAP proposal for Equity funding (presented here) for the scope of work, assessment, and specific goals. The task force is requesting for Senates review, feedback, support, and funding for RAP (attached). Discussion and Ideas: 1) J. Townsend said Dr. Ralston came up with $50K on her own, 2) hire Veronica Neal to do the assessment; she knows our college, theres a lot of trust established, and a lot of people already know her, 3) quote shared, Great leaders are never silent around hard things. Our job is to excavate the onset, the thing that is not being said, and that requires courage and vulnerability. -Renee Brown, 4) We have to do things differently and we dont know what they are because we keep doing the same thing, 5) look at practices and identify the road blocks as a group on campus, 6) the data we gather will be useful data, 7) management barriers including minimum qual policy since 2015, 8) theres district policy and lack of local procedure, 9) requested feedback from Dr. Ralston and N. Hannum and to help this group write it, 10) the audit is supposed to find out why did it happened and we have a lot of data that needs to be looked into, 11) let us do the pieces of the work. 9.First Reading: (A. Simone and J. Townsend): - Minutes from Oct 24, 2022 was read regarding possible duties for the task force; 1) the Senate President to write a request for funding for the auditor, 2) develop a request for a proposal RFP for an auditor, 3) disseminate the RFP, 4) Interview an auditor candidate and select, 5) support the auditor finding relevant documents, contract, etc. 6) to participate in an exit interview with the auditor, 7) receive the auditors report and share the findings with the Senate, 8) work with the Senate to determine next steps based on the auditors findings. The 10/24/22 motion was approved with 8 Yes, 1 no, and 5 Abstain and it was clarified that the proposal is only for the Ethnic Studies Department, and with the Senate approving it 6 years ago from today and management approving it. - It was clarified of what Dr. Ralston said that money should not be a reason why we are not doing this work. This is an important work that needs to be done for our institution and funding should not be a reason why were not doing it. There was a concern of not being able to bring back to their constituents for feedback. Due to RAP deadline (March 31st), Senate will have to waive first read into voting for this proposal.
